The four steps

What happens from "send" to "posted" — in detail.

Each step is handled automatically. Staff do step 1. Managers do step 3. BoringOps handles 2 and 4.

Step 01 — Staff

Send the message

Staff message a BoringOps WhatsApp number — private chat, not group. Photo, voice note, forwarded PDF, or plain text. Bahasa Indonesia supported.

Step 02 — AI

Structure it

AI extracts fields: vendor, amount, date, category, job type. If anything is missing, it asks a follow-up before creating the job. Staff get a confirmation with a job ID.

Step 03 — Manager

Approve or reject

The right approver gets a WhatsApp notification with context. They reply with one word. Decision is time-stamped and stored. Alternatively, they approve in the portal.

Step 04 — System

Post and record

Approved records post to Accurate or Xero with account code mapping, source evidence attached, and a full audit trail logged. Webhooks fire for n8n or other integrations.

Common questions about how BoringOps works.

Does BoringOps read all our WhatsApp messages?

No. BoringOps only receives messages sent directly to the BoringOps WhatsApp number — it's a dedicated intake contact, not a tap on existing chats or groups.

How does the AI know what type of request it is?

The system is configured for your workflow types at setup — AP invoice, petty cash, leave request, etc. The AI classifies based on what you've defined, not general AI guessing.

What if staff send incomplete information?

BoringOps sends a follow-up prompt in WhatsApp asking for the specific missing field. The job is only created once all required fields are captured.

Can approvals happen in the portal instead of WhatsApp?

Yes. Approvers can use either — reply in WhatsApp or approve in the portal. Both record the same decision with a timestamp.
